The end of the fall semester is upon us! We wish you well on exams and hope you have had a successful academic semester.

Immigration Reminders (F-1 Students)


Travel Authorization:

If you are planning to leave the USA this summer, you will need to have your I-20 or DS-2019 signed by Kirsten Sheppard (Booking Link) or Will Doran (Booking Link - until November 30).  

DEADLINE FOR SIGNATURES: DECEMBER 8.
PLEASE MAKE AN APPOINTMENT! 


Please provide:

  1. Passport
  2. I-20 or DS-2019 (J1 students - Only ISEP can sign)
  3. Be prepared to show your unofficial transcript to show that you have maintained enrollment and that you are registered for next year.
  4. If your entry visa will expire (or is already expired), you will also have to show proof of finances for 1 year of study. Check before you come in.

Working On-Campus

During Winter Break (starting 12/15, ending 1/7), you are eligible to work ON-CAMPUS ONLY for up to 40 hours/week.  

Internships/Practica/SPE

If you have been in the USA for at least 1 academic year, you may be eligible to do an off-campus internship (paid/unpaid) related to your field of study.  Make an appointment to talk with Kirsten Sheppard BEFORE you accept any offers. There are specific procedures and regulations to follow.  You can find CPT information on our Google Site.

Address Changes

Please report any changes in address within 10 days.  

Major/Minor Changes

Look at your I-20.  Does your major match what your actual major is?  Have you changed/added a minor?  Please report any change in your major or minor within 10 days of declaration paperwork.  If it is different you will need to make an appointment with Kirsten Sheppard to get your I-20 changed.

Spring Classes
Make sure you are registered for at least 12 credits in spring 2024.  They may be Face-to-Face* only. https://selfservice.maryvillecollege.edu/ 
* If you need to take an online class, you need to first talk with Kirsten Sheppard to determine eligibility.
 

Billing for Spring 2024


Student billing statements for Spring 2024 are available via Self-Service.  To be assured that the courses for which they are registered remain active and to avoid a late fee, student accounts must now be settled by any deadlines given by the Business Office.  Insurance costs are higher in the spring because it covers you for 8 months instead of 4.  *** Watch for further information on insurance in the next few weeks.

Move-back-in, if you are leaving for break, is Sunday, January 7th at 1pm!

Exchange Withdrawal Process

Make sure you have completed the evaluation form and bring the Outprocessing form and Transcript Request form to the meeting.

 

Fill out the international student Evaluation Form 
Complete the Out Processing Form (Bring to CGE)

 

Complete a Transcript Request Form (Give to CGE)    

 

 

 

* After you meet with Kirsten - you must take the Maryville College Out Processing form around to different offices, and at the end of the process they will make arrangements to refund the deposits you made when you arrived.  You must do this form in the order listed on the form. There are up to 2 $100 deposits

  • The $100 general deposit will be returned to you if you do not have any money owing to MC or if you do not have library fines, etc.
  • The $100 housing deposit will be returned to you as long as you live on campus and there is no damage to your room, or if you were not assessed any fines during the year. 

PLEASE NOTE:
You will need Kirsten to sign this form, and we will only sign the form if you have completed the evaluation form, out processing and transcript forms first


Moving Out

You must move out of your room by the deadline set by Residence Life. Be aware you are responsible for leaving your room in the condition it was when you arrived.  If you leave any items, or leave it dirty or damaged, you will be fined.  Garbage must be taken out to the dumpster.

 

 

 

 

SENIORS & GRADUATING STUDENTS

 

ARE YOU A SENIOR?

By December 8th, please confirm with KIRSTEN SHEPPARD when you expect to complete all degree requirements.  Look at your I-20 for your end date, and determine if it needs to be changed.  

Now is ALSO a good time to double-check that your field of study is correct.

December Grads


It is an exciting time of year!  We are so proud of you for completing your degree requirements. 
 Be sure to take care of these steps!  Before December th be sure to:

If you will graduate by December 2023, e-mail Kirsten.Sheppard@maryvillecollege.edu to confirm, and copy your academic advisor on the email.

 

If you planned to be done by December, but need to take additional classes please contact Kirsten.Sheppard@maryvillecollege.edu to inform her of your new end date, and course registration plan. Please copy your academic advisor on the email.

Do you need less than 12 credits in the spring?  It may be possible to take less than a full-course load in your final semester.  TALK TO KIRSTEN first.

If you have applied for OPT, be sure to send/bring a copy of your EAD, job offer letter, and SSN to International House when your receive them.  

 

If you have applied for OPT, you need to purchase health insurance               from Andy Fuller for the duration of your OPT.  You may also show proof of alternate insurance.

 

If you are graduating and have NOT applied for OPT, you have 60 days to leave the USA. If you leave the USA during this time, you will not be able to re-enter on your I-20 or current student entry visa. You are eligible to apply for OPT until 60 days post graduation. (OPT Information)

TRANSFERRING OR WITHDRAWING STUDENTS

Transferring to a U.S. School


First of all - DON'T GO!  We will miss you too much! 

But - If you plan to transfer to another U.S. school please follow the below procedures the week of Dec 6-10th

Complete the Out Processing Form

 

Provide a copy of your acceptance letter to your new program. Your school may also have transfer in paperwork that we can complete at the same time

 

Take the Out Processing form to the Business Office

Common Questions:
1. What if I don't have an acceptance letter yet?  
No problem. You can complete this process when you receive the letter.

2. Can you sign my travel authorization form?
We can not sign travel authorization forms for students who do not plan to return to Maryville College.

Withdrawing and Leaving the Country


If you are withdrawing from Maryville College, you will be required to leave the USA immediately following your withdrawal (generally within 5 days). You do not get any grace period.

Going home this winter?

Bring back cultural attire in the fall to promote your culture! International Education Month is March!

Also talk to Will Doran to bring MC materials to your home country!  We would love it if you could bring something to your home school or a a local EducationUSA office!
